A workflow for the way your customers already message you

Spare parts is the system we have built and run as a product demo. The other four are example workflows that show how the same building blocks would be arranged for a different business.

Spare parts

Product demo

Parts counters answer the same question all day: do you have this part for this car, and how much is it? This is the workflow Wize has built and runs as a working demo.

Read the product demo
  1. 1

    Customer asks for a part

They name the part and the car in their own words. The assistant asks for the model or year if it is missing.

  2. 2

    Assistant checks your list

It searches your parts sheet by part, make, model and year, and sends each match with price, brand and branch.

  3. 3

    Customer orders in the chat

They reply with the item number and quantity. Stock is checked before the order is accepted.

  4. 4

    Your team confirms

The order appears on the dashboard. Staff confirm it and arrange payment and pickup.

Retail

Example workflow

Shops that sell through WhatsApp spend much of the day confirming availability and prices. The same approach as spare parts applies to a product catalogue.

Read the example scenario
  1. 1

    Customer asks about a product

They describe what they want, for example a size, colour or model.

  2. 2

    Assistant checks the catalogue

It replies with the matching products, price and which branch has them.

  3. 3

    Customer reserves or orders

They reply with the item and quantity, and receive a confirmation.

  4. 4

    Staff prepare the order

The order appears on the dashboard for the shop to confirm and prepare.

Restaurants

Example workflow

Restaurants receive a steady stream of messages about opening hours, the menu and bookings, often at the busiest time of service.

Read the example scenario
  1. 1

    Customer sends a message

They ask about hours, the menu, or whether a table is free.

  2. 2

    Assistant answers from your details

It replies using the hours, menu and policies you have approved.

  3. 3

Booking or order request is captured

The assistant collects the date, time, party size or items, and confirms the request was received.

  4. 4

    Staff confirm

The request appears on the dashboard. Anything unusual is handed to a person.

Property services

Example workflow

Maintenance and facilities teams receive requests from tenants by message, usually without the details needed to send the right technician.

Read the example scenario
  1. 1

    Tenant reports an issue

They describe the problem in a WhatsApp message.

  2. 2

    Assistant collects the details

It asks for the building, unit and type of issue until the request is complete.

  3. 3

    Request is logged

The tenant gets a confirmation, and the request appears on the dashboard.

  4. 4

    Team schedules the visit

Staff assign the job and update its status. Urgent cases go straight to a person.

Logistics

Example workflow

Delivery and freight companies answer the same two questions repeatedly: can you collect this, and where is my shipment?

Read the example scenario
  1. 1

Customer asks for a pickup or an update

They send the request or a reference number by WhatsApp.

  2. 2

Assistant collects or looks up details

For a pickup it gathers address, size and timing. For an update it reads the status from your records.

  3. 3

    Request is confirmed

The customer receives a clear confirmation or the current status.

  4. 4

    Dispatch takes over

New requests appear on the dashboard. Exceptions are handed to a person.

If your customers ask you the same questions by WhatsApp every day, the approach probably fits. Tell us how you work and we will say honestly whether it does.
